Background Check Information

GSSA Processes for Conducting Background Checks

Step 1: Each individual league will have each person wishing to be registered as a coach, fill out a background check release form. The form will include their social security number, date of birth and their driver’s license number. They will also need to provide a copy of their driver’s license on a separate sheet of paper.

Step 2: The registrar for each respective league will input the information into Virtual Tournament Director. Once they enter the information, they will send the release form and copy of the applicant’s driver’s license into the GSSA office with the invoice generated by VTD and the proper payment.

Step 3: Once the information is received in the GSSA office, we will initialize thebackground check.

Step 4: Once the background check is returned, if there are no violations, the registrations will be approved and the paperwork will be appropriately filed. If there are any hits on the background check, we will follow the following procedure.

The person on the background check will be compared to the copy of the person’s driver’s license. If it matches, the commissioner will be notified and will review the information.

The commissioner will then make a decision if the violation meets certain criteria to deny the person a position as a coach.

If it does, the commissioner will call the person in question to verify the results of the background check.

Once the information is verified, the applicant will receive a letter in the mail with a reason for denying their participation as a coach along with a copy of the results of the background check.

The president of the organization requesting the background check will be notified that the applicant will not be allowed to coach. The president will be counseled that the information is to remain confidential.

What is the process for keeping my information safe?

Once the background checks are performed, they will be stored in a locked filing cabinet in the GSSA office. They will be shredded after one year.

Who sees the information on my release form?

The registrar of your league will see your release form while entering the information into VTD. Once entered, the information is sent to the GSSA office. The coordinator will see the form so they can initialize the background check.

Who will see the results of my background check?

The coordinator will see results of all background checks. Any violations will be reviewed by the commissioner.
